WHO THIS IS FOR

Your team makes good work.
The handoff takes too much work.

For owners and operations leads at small creative and marketing agencies, typically teams of 5–25.

  • You repeatedly turn similar client requests into projects.
  • Someone copies the brief, creates tasks, and chases missing details.
  • You already have tools. You want the handoff between them to work.

CLIENT INTAKE & HANDOFF SETUP

A focused build.
An agreed finish line.

One workflow, for one team and one service type, connecting up to three agreed existing tools.

An intake your team can use

One intake template or form, with the details needed to start work and a clear human approval step.

A project ready to pick up

The agreed brief, owner, dates, standard tasks, and working-file links carried into your project tool.

A way through the exceptions

Missing details stay visible. Repeated requests are checked for duplicates. Failed handoffs have a recovery path and a manual fallback.

A handover you can run

Testing with representative requests, one adjustment round within scope, a recorded handover, and a one-page runbook.

FROM THE VIDEO

See what a complete handoff looks like.

The BrandFlowr demo follows a sample brief through approval, project creation, a repeated request, and a failed handoff that can be retried.

Repeating the request preserves the work.

The same request finds its existing project. Completed tasks stay complete.

A failed handoff has a next step.

The request stays saved while the operator restores the connection and retries.

Actual local demo · Fictional sample data.
Connections to your tools are scoped and tested for your workflow.

HOW WE WORK TOGETHER

Start with the real request.

Typically three weeks once scope, access, and sample inputs are ready. We agree the dates before booking.

  1. 01

    Map the handoff.

Show me a recent request and where it gets stuck. We check the tools, define the scope, and agree what success looks like.

  2. 02

    Build and exercise it.

I connect the agreed steps and test normal, incomplete, duplicate, and interrupted requests. You get a weekly written update.

  3. 03

    Put your team in control.

We demonstrate the agreed result together. Your operator gets the recording, runbook, and delivered configuration or source files.

You work directly with James. I build software for real operational workflows, with a background in engineering and live broadcast.

BEFORE WE TALK

A few practical details.

Will this work with the tools we already use?

That is the starting point. We review your intake, project tracker, and any file storage, then check their capabilities and access before agreeing the fixed scope. The package connects up to three agreed tools for one team and one service type.

How long does delivery take?

Typically three weeks after scope, account access, and sample inputs are ready. We agree the start and handover dates before booking. You receive a weekly written update, with scheduled meetings when needed.

What is outside the $3,000 scope?

A new standalone client portal, historical data migration, a full CRM replacement, and additional workflows. Scope changes are quoted separately. Any third-party subscriptions or usage charges are agreed beforehand and paid directly by you.

What happens after handover?

You receive the delivered configuration or source files, with any reusable or third-party components identified. Correction of defects in the delivered work is included for 30 calendar days after acceptance. Optional care is $250/month for up to one hour of scheduled checking and minor upkeep; no emergency-response service is included.

What should I bring to the fit call?

One recent client request, the tools your team uses, and the step where the handoff gets stuck. In 20 minutes, we will check whether this focused package fits and identify what needs to be checked before a scope can be agreed.

20 MINUTES / ONE REAL REQUEST

Show me where
the handoff
gets stuck.

Bring one recent client request and the tools you use. We’ll work out whether this $3,000 setup fits your team.

  1. Walk through the handoff you have.
  2. Identify the step worth fixing.
  3. Decide whether there’s a focused project.
We’ll arrange a time by email.

Prepare a request here, then send it from your email app. I’ll reply to confirm a time. Preparing a request does not reserve an appointment.
